East Canton Band Boosters — Meeting Minutes

Secretary’s Report

There was no Secretary’s report.

Treasurer’s Report

There was no formal Treasurer’s report. The approximate balance was noted, with no purchases made since.

Officer Vacancy

It was reported that the Vice President has resigned, as her son (Preston) will no longer be participating in band. The Vice President position is now open and will need to be filled. Discussion of filling the vacancy was deferred to a future meeting.

Old & New Business

1. Instrument Purchase — Sousaphone

The band needs a lightweight fiberglass sousaphone for the Hall of Fame Parade, as the current brass horns are very heavy and a safety concern for marching. The program has the ability to field two players this year. The instrument will be purchased through Pellegrino Music Center in Canton, which has historically provided the program a discount below online pricing.

Motion: It was moved and seconded to purchase one sousaphone, with a budget not to exceed $6,000. If the final price exceeds that amount, the matter will be brought back for another vote. Motion carried.

2. Flag / Color Guard Uniforms

Custom flag uniforms needed to be ordered ahead of the season. The uniforms will be owned by the Boosters and reused in future years. Color guard members will purchase their own shoes, as marching band members do.

Motion: It was moved and seconded to approve the purchase of the color guard uniforms at approximately $200 per student. Motion carried.

3. Concession Stand

The concession stand is the program’s largest fundraiser. Follow-up is pending a meeting with Gary Wellendorf (former Boosters president), who still holds the concession stand keys and documentation of past purchases and operations. It was noted that the first game may include a “Meet the Team” night, which would be high-volume; shelf-stable items (pop, chips) should be ordered in larger quantities to cover the season. Tabled pending the handoff from Mr. Wellendorf.

It was also noted that the hosted band show is the program’s second-largest fundraiser, since the Boosters keep both ticket and concession revenue from that event.

Informational — School-Funded Support

The following items are being purchased or funded by the school (no Booster action required):

• New marching drums (approximately $3,000) — funded by the superintendent
• New parade banner (approximately $2,000) — approved by Mr. Finefrock

Band Camp (Next Week)

Menu

The overall plan is to keep lunches simple (grab-and-go) and make dinners more substantial. Per guidance from nurse Christy Howell / the health department, salads are being avoided; a fruit item and a safe vegetable (applesauce, carrots with ranch, celery) will be available at every meal. Morning fruit breaks will feature watermelon and grapes (berries avoided).

Donation outreach for meats (burgers, taco meat) will be made to Poland Meats (contact Brad via Tina Gallagher), with Pero farm noted as another possibility. Dessert/cookie trays and chips will be sought from Sam’s Club, Costco, or BJ’s. Arrowhead Orchard was noted as a future source for apples/applesauce/cider.

Camp Logistics

• Daily schedule (approx.): 8:00 AM activity, 8:30 AM practice, 9:30–10:00 AM fruit break, lunch around noon, dinner 5:00–6:00 PM, evening practice 6:00–8:00 PM.
• Volunteers needed to help serve food (morning fruit ~9:30–10:00, lunch ~noon, dinner setup ~4:30) and to fit uniforms.
• Camp entry ask of families: popsicles (shelf-stable tube type preferred), a bagged snack, and $10 — kept low intentionally to keep camp affordable (fee was $75 last year; many families could not pay).
• Hydration: Gatorade and water to be provided; water to be promoted given the heat.
• Prizes/activities: Approximately $50 budgeted for band camp activity prizes; recorded as a general camp expense.

It was noted that paid guest instructors (clarinet, flute, etc.) will again be brought in for afternoon sectionals, as approved at the previous meeting.

Fundraising & Sponsorship Discussion

• New uniforms (future, ~2027): New marching uniforms are anticipated next year at approximately $600 each (up from ~$450 in 2018). This will be a dedicated fundraising campaign. A plan must be finalized before soliciting; potential donors include local corporations, Rotary, the American Legion, and local businesses. No motion — ongoing.
• Gun raffle: A gun raffle was raised as a potentially strong fundraiser. Yocum’s (local gun shop) was suggested as a partner to approach. No motion — to be explored.
• Sponsor exposure offered: website (eastcantonmarchingband.com), the Boosters Facebook page, and the concession stand’s digital menu screen.

Communications

The website (eastcantonmarchingband.com) hosts handouts, the season calendar, and the emergency medical form download. Members were reminded to keep parent emails current in the school’s system, and discussion was held about building a Booster email distribution list. Draft minutes will be emailed to attendees after each meeting.
