Secretary’s Report
No secretary was present. Old business from the May 11, 2026 meeting was briefly reviewed: Band Appreciation Night, the Cedar Point trip, the Memorial Day Parade, and elections were all noted as completed items.
Treasurer’s Report
No treasurer was present. Becky Carter was contacted by phone and confirmed the account balance, and that there are two CDs. It was noted that the balance has historically maintained a significant balance with the intent of saving toward new uniforms.
Old Business
No formal old business items.
New Business
Band Camp Fee
The group discussed the band camp fee structure at length. Last year’s fee was $75 per student, which included lunch and dinner for the week. Concerns were raised about equity and accessibility, as the fee was a barrier for some families. It was noted that boosters have historically assisted students who could not afford the fee.
A proposal was made to lower the fee to $10 per student, with each family also asked to donate approximately 20 items from an approved list (such as a case of water, popsicles, granola bars, or chips). The group agreed to continue providing snacks, dinner, and a Friday ice cream party. Lunch format was discussed, with a preference expressed for a simple box lunch (e.g., Chick-fil-A, Jimmy John’s) to minimize volunteer burden during the midday break.
It was noted that any student who cannot provide lunch will be accommodated with backup items (e.g., uncrustables, peanut butter crackers).
It was moved by Jessica Slater and seconded by Ashley Marteney to set the band camp fee at $10 per student plus a donation of approximately 20 approved items. Becky Carter, reached by phone, indicated support for the proposal. The motion carried.
Note: The specific approved donation item list and final food plan will be determined asynchronously before camp.
Band Camp Instructor Pay
It was moved to approve payment of up to $1,200 for band camp instructors, at a rate of $60 per day per instructor, for up to five instructors over four days. The motion carried unanimously.
Seasonal Assistant Pay
It was moved to approve payment of up to $1,500 for seasonal assistants — up to three assistants at $500 each for the full season. The motion carried unanimously.
Uniform Update
Mr. Howell reported that he has reached out to a uniform company regarding new uniforms. The process typically takes one to two years from design to delivery. A previous uniform campaign cost approximately $40,000. The group agreed that pursuing new uniforms should be a formal campaign with a fundraising goal, and that reaching out to local donors (“Faults families” and community businesses) would be part of that effort. No motion was made; this will be an ongoing discussion.
Uniform cleaning from last season was noted as complete.
Website & Facebook Page
A Facebook page for East Canton Band Boosters has been created and is being promoted on East Canton Connect and other local pages. The band’s website, eastcantonmarchingband.com, is now live with the full calendar including band camp, football games, and the Hall of Fame Parade.
A booster Gmail account will be created (e.g., eastcantonboosters@gmail.com) for parents to submit photos and for general communications. It was suggested to post last year’s highlight video to Facebook for incoming families who are new to the program.
No motion required; actions to be completed by president.
Concession Stand
The group discussed volunteer recruitment challenges for the concession stand. It was suggested that high school band students could volunteer at middle school games, and middle school families could assist at high school games. The idea of using NHS students or other groups was raised as a backup option.
It was noted that approximately seven volunteers are needed per game, including two per window, a runner, and staff for popcorn, pretzels, nacho cheese, hot dogs, and hot cocoa/coffee. Cleanup after games (approximately 1.5–2 hours) has historically been understaffed.
A Google Sign-Up form linked from the website was proposed to improve sign-up rates throughout the season. Tabled for further discussion at the next meeting.
